Overview
The PTA Co-President has a wide range of responsibilities, from financial oversight to event management and communication with school administrators, parents, and the PTA board. This position also requires coordination of PTA volunteers and close collaboration with the school principal.
Financial Responsibilities
Student Agendas: Every summer, the PTA funds the creation of student agendas. The school principal manages this process, but the PTA is responsible for payment.
PTA Insurance Renewal: Annually renew the PTA's insurance with AIM Insurance. The renewal process typically starts in early May.
School Banners and Yard Signs: The PTA procures back-to-school banners and yard signs, as well as banners or signs for special events, including graduation and teacher appreciation days.
Scholastic Dollars from Book Fair: Discuss with the principal on the allocation of Scholastic dollars earned from the book fair.
Fundraising
Bright School Kits Fundraiser: The PTA collaborates annually with Bright School Kits for a fundraising event.
Volunteer Management
PTA Volunteer Form: A form must be signed by every parent who volunteers at a PTA event.
Planning & Organization
School Year Calendar: In May, outgoing PTA presidents start working on the calendar for the next school year.
District Calendar Events: Submit a list of PTA events to the principal and secretary for inclusion in the district calendar.
Event Scheduling: Coordinate with event chairs for events scheduled a year in advance, such as pictures or book fairs.
Committee Meetings: Starting in May, meet with the upcoming year's 5th grade committee and the Pick A Reading Partner (PARP) chair.
Communication
MemberHub Mailing List: Get the names and email addresses of parents from the class parent coordinator to add to the MemberHub mailing list.
Weekly Email Blasts: Update the corresponding secretary with information for the weekly email blasts.
Social Media Posts: Schedule Facebook posts for the week.
PTA Council Meetings: Attend these meetings as representatives of the school's PTA.
Meeting Agendas: Prepare the agendas for the board meetings and the regular PTA meetings.
Collaboration
Principal Collaboration: Regularly communicate and collaborate with the school principal.
PTA Executive Board Collaboration: Regularly communicate and collaborate with the PTA Executive Board.
Event Management
Event Checklist Access for Chairs: Ensure chairs have access to the checklist for their events.
Holiday Teacher Lunch and Teacher Appreciation Week: Plan and organize these events.
Digital and IT Responsibilities
Website Domain Management: The PTA manages their website domain through Google Domains.
PTA Email Management: Board members and committee chairs are assigned email addresses, which are managed through the Google Workspace.
